Guide for Shipping from China to Russia


Determine the type of goods:


1. Documents: Identify the type of documents you want to send, such as contracts, document copies, or authorization papers. Organize the files and ensure they remain intact.


2. Samples: Confirm the nature and size of the samples. If there are any special requirements or considerations, such as fragile or items needing special handling, inform the logistics service provider in advance.


Large-scale goods: Ensure thorough planning and preparation for large-scale goods. Determine the dimensions, weight, and any special requirements of the goods to select the appropriate transportation method.


3. Choose the mode of transportation:

Sea Freight: Sea freight is generally suitable for bulk goods and long-distance transportation. Depending on the volume and weight of the goods, choose the appropriate container type (e.g., 20-foot or 40-foot container) or opt for bulk cargo shipping.

Air Freight: If the goods need to be delivered quickly, air freight can be chosen. Understand the dimensions, weight, and flight schedules of the goods to book the appropriate cargo flight.

Land Transportation: For smaller goods and shorter distances, consider land transportation. Choose suitable transportation vehicles such as trucks, railways, or intermodal transport to ensure the safe arrival of goods at the destination.


4. Finding a logistics service provider:

Conduct research: Find reliable logistics service providers by searching the internet, referring to industry directories, or consulting business partners and colleagues.

Evaluate experience and reputation: Check the logistics company's experience, professional qualifications, and customer reviews to ensure they can meet your transportation needs.

Compare quotations: Consult multiple logistics companies and compare their transportation service quotations. Ensure the quotes include all relevant costs such as freight charges, insurance fees, and other additional expenses.


5. Prepare necessary documents:

Transportation contract: Sign a transportation contract with the logistics company to clarify the responsibilities and obligations of both parties.

Invoice and packing list: Prepare accurate invoices and packing lists, detailing the quantity, description, and value of the goods.

Goods inventory: Compile a detailed inventory of the goods, including the contents and quantities of each package.

Insurance documents: Consider purchasing cargo transportation insurance to ensure appropriate protection for the goods during transit.

Relevant permits or certificates: Depending on the nature of the goods, determine if specific permits or certificates are required, such as for food, pharmaceuticals, chemicals, or agricultural products. Ensure you obtain and prepare all necessary documents.

Customs documents: Understand the import and export regulations between China and Russia and prepare the required customs documents, such as import/export declaration forms, customs invoices, and other necessary certificates.


6.  Packaging and labeling:

Packaging materials: Select appropriate packaging materials based on the nature of the goods, such as cartons, wooden crates, protective film, etc. Ensure the packaging can protect the goods from damage or contamination.

Labeling requirements: Clearly label essential information on the packaging, including the names, addresses, contact details of the sender and recipient, as well as any special requirements, warning signs, or handling instructions. This helps ensure the correct delivery and proper handling of the goods.


7.  Arranging logistics transportation:

Freight planning: Provide accurate information about the goods, including quantity, weight, dimensions, and any special requirements. Based on this information, the logistics company will assist you in selecting the appropriate mode of transportation and arranging suitable freight services.

Schedule and tracking: Coordinate the transportation schedule with the logistics company and ensure you can track the status of the goods in a timely manner. Many logistics companies provide online tracking tools for you to monitor the location and progress of the goods.


8.  Customs procedures and clearance:

Customs requirements: Familiarize yourself with Russia's customs requirements and procedures, including import permits,customs valuation, duties, and taxes. Ensure that your documents and goods comply with all requirements.

Advance notification: Notify the Russian customs authorities in advance before the arrival of the goods and prepare the necessary customs declaration documents. Work closely with the logistics company to ensure accurate and complete document submission and potential customs inspection processes.


9. Goods delivery and receipt:
Inspection of goods: Carefully inspect the integrity and condition of the goods before signing for receipt. If any damage or issues are discovered, contact the logistics company immediately and make a note on the receipt document.


10.  Document confirmation: Verify the goods inventory, invoices, and other documents to ensure they match the actual goods. Sign the confirmation documents to indicate that you have received the goods and are satisfied with their condition.
